The Medieval Passion Fair is a colorful and unique event of its kind. Creators, artisans and artists come together in one place to share their passion with you! It is also possible to meet knights, vikings and even fantastic creatures! 

This gathering – both indoor and outdoor – attracts an average of 6000 visitors annually.

To ensure the success of an event of this magnitude, the involvement of volunteers becomes essential.

The goal

Our goal is to support your work, facilitate your integration and support you in your various tasks.

To further support you in your experience within the Salon de la Passion Médiévale team, we have written this welcome guide, which contains all the information relevant to your role as a volunteer. This is a presentation tool, but also a reference to answer the majority of your questions. You can complete your information collection by consulting the event website. In any case, you can always refer to the volunteer coordination team for more details about the event.

What does a volunteer do?

A volunteer is a person who offers their time – and their good humor! – to help carry out the event. Everything takes place in harmony, in a team philosophy and with respect.

A volunteer can choose to:

  • Work in various sectors of activity or specialize in the same task throughout the Show.
  • Make yourself available for a minimum of one (1) time block or more, or for the entire event (Certain advantages are to be expected for volunteers participating in the dismantling).
    A block represents a duration of 4 hours of volunteering. The different blocks are explained in the “Volunteer Blocks” section further down in this document.
  • To work in the heat of the moment or behind the scenes of the event.

With a few exceptions, a volunteer is never alone; he or she always works in a team of two or more and the coordination team is always there for support.

We try to accommodate everyone's wishes, but sometimes the availability of volunteers influences the assignment of tasks.

Communication

  • Assist communications managers in video recording and photography of the event

Assembly

  • Assist those responsible for planning
  • Participate in collecting materials
  • Unload material trucks
  • Assemble the different structures
  • Install decorative elements
  • Ensure sporadic maneuvers required throughout the show

Dismantling

  • Assist those responsible for planning
  • Remove decorative elements
  • Dismantle the different structures
  • Load trucks with material
  • Participate in the transportation of materials to warehouses

homeland security

  • Assist security managers
  • Monitor entries
  • Carry out inspection rounds
  • Ensure the smooth running of the event
  • Intervene in the event of a situation that could put the safety of visitors at risk

Outdoor security

  • Assist security managers
  • Monitor entries

Outdoor field

  • Assist those responsible for the external field

The spirit of the Show

The Salon is held at Place Bell, in Laval.

This site has many advantages, in addition to a large outdoor space. Access is very easy, both by car and by public transport, since the Montmorency metro station is right next door (note that parking is not included in the volunteer conditions, for those who go there by car).

The aim of the Salon is to bring visitors to life with different periods and historical themes. He wants to promote everything that is done in Quebec from near or far with the Grandeur Nature role-playing game and historical leisure (medieval, New France, Steampunk, fantasy, etc.).

We are looking for a certain balance between businesses, artisans, artists, life-sizes and re-enactment troops. We want to encourage discovery and sharing in the medieval and fantastic immersive leisure community in Quebec. We seek to offer the best possible service to our visitors and it is thanks to our volunteers that we achieve this.

To maintain this unique atmosphere so special to the Show, we need people who are close to the visitors and who understand them and who share their passion.

Customer Service Volunteer

Home

  • Ensure a presence at the entrance to the site.
  • Welcome and direct visitors.
  • Communicate information relating to the layout plan and programming of the event.

Tickets

  • Ensure a presence at the entrance to the site
  • Check the validity of visitor tickets (printed and electronic).
  • Handle ticket purchase transactions.

VIP entry

  • Ensure a presence at the secondary entrance to the site
  • Welcome and direct distinguished guests and VIP visitors
  • Communicate information relating to the layout plan and programming of the event.

Walking information

  • Stroll through the different areas of the Show.
  • Call on participants to explore their information needs.
  • Communicate information relating to the layout plan and programming of the event.

Information kiosk (interior)

  • Ensure a presence at the kiosk
  • Welcome and direct visitors.
  • Communicate information relating to the layout plan and programming of the event.

Information kiosk (exterior)

  • Ensure a presence at the kiosk.
  • Welcome and direct visitors.
  • Communicate information relating to the layout plan and programming of the event.

Sales kiosk

  • Ensure a presence at the sales kiosk.
  • Handle purchase transactions for promotional items from the Show.
  • Invite people to participate in different competitions.

Parking

  • Ensure a presence at the entrance and exit of parking lots.
  • Direct and inform motorists.

Responsibilities of the volunteer

As a volunteer, you are a key contact between the public and the Show. Therefore, it is essential that you understand the spirit of the organization and the responsibilities that you undertake to respect. It is important that your actions meet the principles of welcome and professionalism that ensure the success of the event.

In order to ensure a quality welcome and service, always keep in mind that:

You represent the Show

  • Work in a positive manner and in a good mood! Visitors are the reason for your work.
  • Be respectful of the most diverse needs of the latter, and also of the people with whom you work.

Stay approachable and positive

  • Always act in a way that responds positively to any person or situation that comes your way.
  • Keep in mind the motto: “How can I be of service to you?”
  • If you cannot respond positively, contact your assigned manager immediately.

Be ready

  • Please have all the information regarding your work.
  • Make sure you have your “Volunteer Kit” on hand (identification badge, schedule, coupons, tunic, organization chart, etc.).
  • If you are missing information, contact your assigned manager immediately.

You are privileged

  • Act with the understanding that your admission and privileges are not transferable and may be withdrawn if you act inconsistently with the principles of the organization.

Stay identifiable

  • You wear your bracelet and, during your hours of service, your identification cockade and your tunic.

Be professional

  • Take care to be decently dressed and shod appropriately for your task.
  • Be punctual and respect schedules.
  • Inform the volunteer coordination team as soon as possible when you realize that you will be unable to meet your responsibilities or if you are experiencing a difficulty, at any level.

Be proactive

  • Stay alert for any problematic – or even intolerable – situations and react immediately, either by resolving the situation, if possible, or by notifying a manager very quickly.

PRIVILEGES OF A VOLUNTEER

  • Free entry from 3 blocks
  • Meal provided during a volunteer day
  • Thank you meal at the end of the event (location to be confirmed) and registration for participation prize draws
  • Gifts from sponsors to draw from a volunteer block

You must have done a minimum of three blocks of volunteering to have access to your free entry. You must have done at least four blocks of volunteering to be part of the thank you meal.
